Fundraising Do's and Don'ts

Advertising your event...

If you would like to create your own posters for your fundraising event, you can email us at info@sentebale.org and request a jpeg of the logo.

Wherever you use Sentebale’s logo, you should always write “Sentebale is a registered charity no. 1113544”, in order to comply with Charity Law.

All your fundraising materials need to make it clear that you are fundraising in aid of Sentebale, but that you do not represent Sentebale. Commercial organisations cannot use Sentebale’s name or logo without written permission.

Organising an event...

Before going ahead with your fundraising event, you need to make sure that it’s safe and legal. Sentebale cannot be held responsible for the organisation or supervision of any fundraising activities; all activities and participation are at the organisers’ and participants’ own risk. Sentebale does not accept responsibility or liability for any loss or damage to property or personal effects arising from any fundraising activities in aid of Sentebale.

You should check with your local Council to see if there are any permissions, licensing, trading standards and health and safety issues that you might need to think about.

If you are planning an event in a public place, you will need to contact your local police.

Make sure your venue is properly insured. If you are involving the public in any way, you need to have Public Liability Insurance. Check with the managers of the venue to see if this is already covered. Any sub-contractors or facilities also need to have the right experience and insurances.

You must have a licence to sell alcohol at an event unless the venue itself already has one. You need to contact the Licencing Justice at your local Magistrates Court at least one month before the event.

If you are going to sell food and drink, you can contact your local environmental health department for guidelines.

Safety first...

While fundraising, everybody must comply with the Health and Safety at Work Act (1974 and subordinate legislation) – you can find more information at http://www.hse.gov.uk/pubns/law.pdf - which applies to volunteers as well as employees.

Children in particular should be kept safe and they must be supervised by an adult when they ask for or collect money. Children must always get permission from a parent or guardian before attending or participating in fundraising activities.

You can get advice or assistance on First Aid from your local branch of St John’s Ambulance, and for more information on fire safety, please contact your local Fire Station.

Sponsored activities...

If you are planning a sponsored event, always use an official sponsorship form and only get sponsorship from people you know and trust.

Sentebale is also registered with Justgiving which provides fun and easy-to-use online fundraising tools that capture donations electronically and reclaim Gift Aid automatically— saving charity supporters a lot of hassle and charities themselves a lot of time and cost.

Collecting money...

If you want to collect money through public bucket collections or house-to-house, you’ll need to get a licence from your local authority. Without a licence, it is illegal to collect money like this.

If you are collecting on private property, like a sports centre or shop, you need to get permission from the manager or owner.

Raffles...

If you want to sell raffle tickets to the general public you need to contact the licensing department at your local authority. You may also need to get your tickets professionally printed. For more information please visit http://www.institute-of-fundraising.org.uk

What is Gift Aid?

If you are a UK taxpayer, Sentebale can reclaim 28p on every pound you give us with no extra cost to you. So if you give Sentebale £10, it is actually worth £12.80 to us.

However, you do need to pay enough tax to cover your Gift Aid - for example, if you want Sentebale to reclaim £28 on a donation of £100, you must pay at least £28 in income or capital gains tax during that tax year.

For us to be able to do this each donor must fill in a gift aid form. If you would like Sentebale to be able to claim gift aid on any money you raise, you can download and print off the gift aid form below, and ask donors to consider filling one in and sending it to Sentebale at Clarence House, London SW1A 1BA.
